PTE Meeting, Tuesday, July 20, 2010
The Eagle Elementary PTE met again tonight at Eagle Elementary. On the agenda was the discussion for moving forward with their intent on obtaining a 502c3 status which would allow them their own tax exempt status.
In attendance at tonights meeting were three school board members (Alan Retzlaff, Dennis Francke and David Doran) as well as Super Intendant Bill Heimann. They were gracious to accept the invitation to be at the meeting and hear what the group is saying as well as answering some questions.
While is was expressed that people didn't like how things were handled when it came to the district taking over the PTE bank account it was explained that it was done to follow policy. Without knowing, the PTE has been dispositing their money into an account with the district number on it. This puts the district at risk for how the money is handled. Under current policy any money going out or coming in needs to go through the district office and the policies set up there.
That being said. The PTE had it in their budget to move forward with the 501c3. That budget was approved by the school board. They will continue with this process as early as tomorrow. The account under the school district number will not be returned but expenses the PTE has will be paid after approval out of this account. Any money coming in will be placed in the new account under the new 501c3 number once it is set up. Any money paid out of the old account has to have the PTE president sign for the expense. So no money will be spent without the PTE approval.
There is still a lot to go through for the PTE to spend any money from this account. We are learning that there needs to be more communication all around so that the vendors the PTE uses are paid in a timely fashion to protect the relationships established with the vendors and the PTE.
All three board members gave their approval and said they were behind the PTE 100%. They are happy about the new line of communication that is being set up through this process. All board members will receive the e-mails sent out to PTE members so that they can attend meetings as their schedules allow them. Everyone in the district is encouraged to attend the school board meetings.
